Millennium Campus Network, Inc. (“MCN,” “we,” “us,” or “our”) is committed to protecting the privacy of all applicants, Fellows, partners, and community members who engage with the Millennium Fellowship program. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information.

The Millennium Fellowship program is run and administered solely by MCN (a nonprofit organization based in Boston, Massachusetts, USA).

  1. Information We Collect

    • ​We collect personal information that you voluntarily provide when you apply, participate, or engage with the Millennium Fellowship program, including but not limited to:

    • Application Information: name, email address, phone number, date of birth, gender, university/campus, country, city, program of study, academic level, and project details.

    • Program Participation Information: profile details (bio, role, photo, campus, project information), communications, contributions to community platforms, and any content you choose to share.

    • Technical Information: device/browser data, IP addresses, and usage data when interacting with our websites or platforms.
       

  2. How We Collect Information
    We collect information through:

    • Application forms and surveys (e.g., Paperform, Google Forms, Typeform, Formsite).

    • Program management tools (e.g., Google Drive, Google Sheets, Canva, BetterMode).

    • Email and communications with MCN staff and contractors.

    • Voluntary submissions to events, webinars, or community spaces.
       

  3. How We Use Information
    We use your information to:

    • Review and process program applications.

    • Communicate with you about your application, program updates, and opportunities.

    • Manage the Millennium Fellowship community platform and enable collaboration among Fellows.

    • Administer events, workshops, and trainings.

    • Improve our program, outreach, and communications.

    • Comply with legal obligations.
       

  4. Legal Basis for Processing (for international participants)

    • For individuals located in the European Union (EU), United Kingdom (UK), or other jurisdictions with data protection laws, we rely on the following legal bases:

    • Consent – when you provide personal information in your application or profile.

    • Legitimate Interest – to operate and improve the Fellowship, support Fellows’ work, and maintain community engagement.

    • Legal Obligation – when required to comply with applicable laws.
       

  5. Sharing of Information
    We do not sell your personal information. We may share your information only as follows:

    • With program contractors and staff who support administration.

    • With trusted third-party service providers (e.g., Paperform, Google, Typeform, BetterMode, Canva) to operate program systems.

    • With UNAI and other program partners only in aggregated or de-identified form, unless you consent otherwise.

    • When required by law, regulation, or legal process.
       

  6. ​International Data Transfers
    As a U.S.-based nonprofit, your information may be transferred to and processed in the United States or other countries where our contractors or service providers operate. By participating in the program, you consent to these transfers, which may have different data protection laws than your home country.
     

  7. Data Retention
    We retain personal data only as long as necessary for the purposes set out in this Policy, including program administration, legal obligations, and reporting. We may keep some information in anonymized or aggregated form for research and program evaluation.
     

  8. Your Rights
    Depending on your jurisdiction, you may have the right to:

    • Request deletion of your personal information.

    • Restrict or object to certain processing activities.

    • Withdraw consent (where applicable).

    • Lodge a complaint with your local data protection authority.

    We use reasonable organizational, technical, and administrative safeguards to protect your information. However, no system is 100% secure, and we cannot guarantee absolute security of your data.
     

  10. Contractors and Global Team
    MCN works with independent contractors around the world to coordinate the Millennium Fellowship. These contractors are bound by confidentiality obligations and only access data necessary for their role.
     

  11. Children’s Privacy
    The Millennium Fellowship is open to undergraduate students, generally 18 years and older. We do not knowingly collect data from children under 16 without appropriate consent.
     

  12. Changes to This Policy
    We may update this Privacy Policy from time to time. Any material changes will be posted on our website with a revised “Last Updated” date.
